Professional Notary Public & Document Authentication Services

Get professional notarization, apostille, document authentication, translation, and immigration support all in one place

Expert document notarization for all important documents

Notarization certifies the authenticity of each signature affixed to a document. It assures all signatories and parties involved that the signatures are authentic to deter fraudulent transactions. Notarization will also ensure that you, as the signer, are acting without duress or intimidation.

Notarization can be in the form of an acknowledgment or a jurat – both of which are offered by our Southern California notary public. Take note that notaries are not allowed to determine which notarial form a signer uses and can only ask what you or the document originator prefers. But whichever notarization you need, you can choose from our mobile notary or in-office service available anywhere in Los Angeles, Santa Barbara, San Diego, Orange, & Ventura counties for hassle-free signing.

At Rush In Documentation Center, we provide notary services at home, office, hospital, jail, place of business, and anywhere in Southern California. You can call us for a same-day notary or schedule one to fit your preferred time and location. Our notary service is also available before and after business hours as well as weekends or holidays by request

take note

Not all documents require notarizations. For example, you don’t need notarization for vital records, such as birth certificates, social security cards, marriage certificates, death certificates, etc. If you’re unsure whether your document needs notarization, you can contact us directly for a quick consultation with our licensed California notary public.

Acknowledgment notarization for real estate & property documents

Acknowledgment notarization is intended to verify the signer’s identity and willingness to sign the document. With acknowledgment notarization, you will NOT swear to the accuracy or truthfulness of the document. At the same time, our California notary public is NOT vouching for the veracity of the document’s content and only confirming your signature’s authenticity.

For acknowledgment notarization, our notary public doesn’t have to witness the signing itself. However, all signing parties must be present during notarization to confirm the authenticity of their signatures and that they affixed them in their own volition. Document signing can be done before the signers appear before our licensed California notary.

Acknowledgments are often used for various legal documents, such as real estate transactions, refinancing paperwork, loan agreements, powers of attorney, deeds, and trust documents. For acknowledgments, you need to prepare a valid identification and personal appearance. You can request our mobile or in-office notary acknowledgments in Southern California, whichever you find most convenient.

Here's what you can expect during acknowledgments:

Jurat services for affidavits & sworn statements

Jurats are notarial acts performed when you are swearing to the content of the document. You, as the signer, are taking an oath vouching for the truthfulness and accuracy of the notarized document. Jurats add a level of authenticity to the document and accountability to the signer as you are affirming that its contents are true.

Take note that we can’t perform a jurat for a document previously signed before the appearance to our notary public. You must also respond loudly and clearly to the oath – nodding your head and giving other silent answers are not acceptable for jurat.

Jurats are often performed on depositions, legal affidavits, financial declarations, and sworn statements. Again, our notary public can’t advise which notarial act you should use as this is considered practicing law without a license. You, the signer, or the document issuer will have to inform our notary public of which notarial act you need.

Here's what you can expect during a jurat:

Remote online notarization (RON)

Under Civil Code 1189(b), California recognizes out-of-state remote online notarizations performed in accordance with the State Law with jurisdiction over the notary public performing RON. However, California notaries may not perform RON under California.

Please contact the County Register Clerk, the Secretary of State, and the requesting agency to ensure that your document with RON will be accepted for specific purposes.

Remote online notarization is advantageous if you need an expedited apostille or embassy authentication, are sending documents to another country, or are too busy to deal with mobile or in-office notarial services.

For signatories in the U.S., our remote online notarization fee is $35/signature, including a service provider fee of $10 and a notary fee of $25. For notary concierge service, we charge $75/client regardless of how many signatures would be notarized.

For signatories outside the U.S., our remote online notarization fee is $100/signature, including a service provider fee of $75 and a notary fee of $25. For notary concierge service, we charge $150/client regardless of how many signatures would be notarized.

Here’s how our remote online notarization works for out-of-state and overseas requests:

International Document Services & Authentication

Rush In Documentation Center provides comprehensive solutions for documents that need international recognition. We deliver fast apostille or embassy authentication both in all 50 states and at the federal level. Our expert licensed notary & immigration consultant can handle highly confidential business and personal documents for international use.

We have a strong working relationship with the Secretary of State, Federal Bureau of Investigation, and embassies, allowing us to expedite all your apostille or authentication needs. Our team will also ensure you’ll have hassle-free document certification as we ensure every submission is correct and acceptable.

You can order apostille or authentication for documents to be used in any destination country. We can also handle documents in multiple languages through our professional document translation and notary services, which are available for an additional fee.

Apostille certification for Hague Convention Countries

An Apostille is a certificate authenticating the public officials’ signatures on the document and its origin to be used outside of the United States. Apostilles are commonly issued by the Secretary of State (for state apostilles) and the U.S. Department of State (for federal apostilles).

You need an apostille if you’re using or transferring a document between countries party to the Hague Apostille Convention of 1961. This treaty streamlined the process of authenticating documents between member countries, ensuring that it would be accepted for any formal or legal purposes.

State apostilles are often needed for vital records, state court records, academic records, business documents, and more to be used abroad. Meanwhile, federal apostilles are requested for documents, such as FBI background checks and other similar records nationwide.

Before apostillation, some documents may need to be notarized and translated as required by their destination country. At Rush In Documentation Center, we can handle all these for you. We can also process international apostilles from Ukraine, Belarus, Kazakhstan, Uzbekistan, Israel, Russia, Moldova, and other countries.

Embassy Legalization for Non-Hague Countries

Embassy legalization or embassy authentication is needed if your document will be used in countries NOT members of the Hague Apostille Convention of 1961. Instead of a single apostille, your document will undergo a series of authentication, including one from the commissioning agency, state/county officials, the Department of State, the destination country’s consul, and so on.

Embassy authentication can be done for vital records, state court records, and other official documents. However, it will require additional steps than an apostille and could take longer to process.

For complete authentication services, our notary in Los Angeles will notarize the document as needed. We will also gather all the necessary supporting documents and forms to ensure that your request will be error-free and processed quickly.

Rush In Documentation Center will handle all your document authentication needs. We provide accurate document preparation and country-specific document handling to ensure international acceptance.

Professional Translation & Multi-language Document Services

Certified translations are often needed before requesting an apostille or embassy legalization, depending on the requirements of the destination country. It’s usually required for formal and legal documents, such as affidavits, contracts, vital records, and more, before it can be accepted internationally.

We provide professional document translation for any academic, legal, technical, medical, and personal documents for anyone in Southern California. Our professional translators are certified by the American Translator’s Association (ATA) for guaranteed international acceptance of your document.

You can request translation from any source language to any target language. With us, you’ll get the best document translation services in English, Spanish, Russian, Ukrainian, Kazakh, and more. All our translations come with a certificate with the translator’s qualifications and signature, affirming its accuracy and completeness.

Depending on your needs, you can get short or long-form translations to meet specific legal requirements. Whether it’s a single file or a bulk of documents, we can translate everything with precision and guaranteed confidentiality.

Document Requirements & Preparation Guide

Ensure hassle-free notary and authentication services with the right requirements and preparation. For most documents, the following are the requirements you need to prepare before booking a notarial service, apostille, or embassy authentication. Feel free to call us, and our specialists will advise you about the requirements, so you can prepare beforehand:
Identification Requirements for Notarization

Identity verification is the main purpose of notarization and it’s crucial to present a valid and acceptable ID when appearing before a notary public. Your form of identification should establish satisfactory evidence of your identity in line with notarial laws. Take note that California doesn’t permit personal knowledge to verify a signer’s identity, meaning you need to present concrete proof of identity.

Government-issued identification requirements
Government-issued IDs are the primary forms of identification accepted by notary public services. The following are the primary IDs we accept for our notary services in Los Angeles and surrounding areas:

Secondary proof of identification
If you, as the signer, don’t have any primary IDs, our notary can still accept secondary forms of identification, but they must contain your photograph, signature, physical description, and identifying number. The following are some of these secondary IDs:

Take note that social security cards, birth certificates, student IDs, bank cards, marriage certificates, photocopies of IDs, and expired IDs will not be accepted for our notary services.
Document Preparation by Type

Aside from presenting a valid form of identification, you must ensure that the document to be notarized is complete and valid. Here are the preparation requirements for some types of documents we often notarize.

Real Estate & Property Document Guidelines
For purchase agreements, ensure that all parties’ names, purchase prices, and property details are clearly stated on the document. For lease agreements, include both parties’ responsibilities, rent duration, rent amount, and specific terms when appearing before a notary. If you’re requesting a notary for deeds, confirm if the document has a complete property description with a valid signature of a grantor.

Power of Attorney Document Requirements
When notarizing powers of attorney, you (the signer), must ensure that the document has the principal’s information, agent’s information, and has a clear scope of authority. You should also affix all signatures with the principal signing in front of a notary public.

 Affidavit & Legal Statement Preparation
Affidavits and legal statements requiring jurat must have a complete outline of the statement of facts, together with a logical affidavit structure. All signers must sign and take an oath in front of a notary, affirming the accuracy and authenticity of the affidavit’s content.

Special Circumstances in Document Notarization

In case of challenging or unique notarial situations, our team at Rush In Documentation Center can make arrangements to ensure that your documents will be notarized accordingly. Here are some of the unique notarial and authentication situations we can handle.

Our notary public can also handle document signing for incarcerated individuals in Southern California.

Frequently Asked Questions about notary services

Yes, a notary public in Los Angeles County or any locality can refuse to notarize a document under certain circumstances. For example, a notary may decline notarization if the document is suspected to be fraudulent, the signer appears to be forced to sign, or the signer doesn’t understand what they are signing. At the same time, notaries can decline notarization if the signer can’t provide a valid form of identification, can’t physically appear before the notary, or there are incomplete details or missing signature lines in the document.

In most cases, only signers need to be present during notarization. The notary has to witness the signing or personally witness the signers confirm that the previously affixed signature was theirs. However, in the case of multiple parties being in separate locations, there’s an option to appear together or have their signatures notarized individually. A notary can notarize a pre-signed document as long as the notarial act is an acknowledgment and the signers are present to verify their signatures.

In most cases, you need a valid government-issued identification to have a document notarized in California. But in the absence of a valid ID, California allows ‘credible witnesses’ who know the signer well enough to vouch for his or her identity. You only need one credible witness if the witness knows both the notary and the signer and two credible witnesses who don’t personally know the notary public. Each credible witness must present a valid identification during notarization.

For notary services in California, we charge a base notary fee of $25 and a service provider fee of $10. Meanwhile, the cost of our mobile notary services in Los Angeles depends on the travel distance and exact location where the signing will take place. We also have to factor in the number of signatures and schedule to calculate the mobile notary cost. We recommend calling us so we can discuss the details of your service request, and we’ll give you a free quote.

Common documents requiring notarization include real estate deeds, financial transaction documents, mortgages, powers of attorney, adoption papers, wills, trusts, medical directives, and more. Depositions and affidavits also require notarization, specifically jurat, to verify its accuracy and truthfulness. Take note that all documents need notarization, such as vital records and personal letters. If you’re unsure, you can always refer to the issuing agency to identify if it needs notarization and what notarial act you should request.

Yes, a notary in Los Angeles can notarize pre-signed documents as long as the notarial act is an acknowledgment. Still, the signers must be present to allow the notary to confirm their identities and for the signers to confirm that the affixed signatures are authentically theirs. However, if the notarial act involves taking an oath to confirm the veracity of the document’s content (jurat), all signings must be done in front of the notary public.

A notarized document in California remains valid unless it falls under these conditions:

1. An explicit expiration date is indicated in the document itself.
2. Specific laws or regulations require the notary seal to be updated or renewed.
3. The receiving institution or agency requires the notary seal to be updated or renewed.

Common documents with expiring notarization include powers of attorney, medical directives, and certain affidavits or consents with pre-determined validity periods. Always check and confirm with the receiving party to ensure that your notarized documents remain valid within the desired period.

No, California notaries are not allowed to notarize vital records, such as birth certificates and government-issued identification, such as passports. Only the issuing government agencies can certify them, and photo-copied duplicates can’t be notarized as “certified copies”.

If you wish to have certified copies of your birth certificate or passport, you need to order them directly from the issuing agency. If you need assistance requesting copies of your birth certificate or a new passport, Rush In Documentation Center can help! Contact us, and let’s discuss your document retrieval and passport renewal needs.

No, California laws do not allow fully remote online notarization (RON), where the signing is done electronically. All California notaries are legally compelled to be physically present with the signer when validating their identity and signatures. However, California recognizes out-of-state remote online notarizations performed in accordance with state law, which has jurisdiction over the public notary performing RON.

Still, we offer a mobile notary service where we travel to your preferred location to witness the document signing. This is a convenient alternative to RON, so you can still get fast notarization in Southern California.
